| Forming a Mentoring Circle |

Mentoring Circles usually form when one person chooses to be the "point person" in putting a group together in his/her area. He/she will: Recruit group participants. Be the contact person throughout the year the mentoring circle meets. Send out application forms to potential group members and then collect the completed forms. When a minimum of 10 applicants turn their forms to the point person he/she will then forward them to Hope Network and we then work with the point person to schedule an organizational meeting. Make sure that applicants understand that "application" does not necessarily imply "acceptance."
A Mentoring Circle ideally consists of not less than 10 or more than 14 persons (minimum of 10 for economic reasons - maximum of 14 for group dynamic reasons.) The members should share a fair amount of affinity though allow for diversity. Some groups include a blending of elders and full time staff ministers. Others are either all elders or all staff ministers. Some groups are interdenominational; others are within one fellowship. Ideally, groups include persons from several different congregations but not necessarily. Groups members should be within 3 hours driving time of each other (although there have been exceptions.) Groups ordinarily meet approximately one full day per month across one year, with a minimum of 9 meetings and a maximum of 12 meetings (again, some exceptions, but most groups meet at least 10 times)
Each mentoring circle participant contributes financially to Hope Network. (Cost is $100 per meeting, per person.) Since this covers Hope Network travel expenses, participants are expected to contribute every meeting even if absent. The point person is the collector of these funds at each meeting.
Once the application forms are in, the point person arranges an organizational meeting with me which does not count as one of the 9-12 sessions. At the organizational meeting: I describe the process in depth. The mentoring circle covenants together on group expectations (these expectations usually tailored by each group to fit its situation). Calendar is set for at least the 1st six months of the covenant year. Note: For the organizational meeting, participants chip in to pay only my air fare, but the normal $100 per person fee does not apply.
Since I am able to work effectively with a limited number of mentoring circles each year, the groups are accepted on a first come first serve basis. When the years calendar is full, any applying groups left over will be first on the list for the following year.
